Executive Assistant

As an Executive Assistant, your main focus will be supporting Executive’s everyday activities, such as meetings, conference calls, traveling, managing correspondence and meeting notes. You will help in time optimization, and often act as the first point of contact with people from both inside and outside the organization. The person in this position will provide administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, and answering questions and requests so as attend meetings.
The Executive Assistant is communicative, proactive, detail-oriented, flexible with time, with high professional ethics and ability to multitask.

Responsibilities:

  • • Enhances executive's effectiveness by providing information management support; representing the executive to others ;

  • • Managing executive’s time and activities with respect to internal and external needs, as well as managing deadlines and expectations ;

  • • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics ;

  • • Reading, researching, and routing correspondence ;

  • • Drafting letters and documents; collecting and analyzing information; initiating telecommunications ;

  • • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel ;

  • • Represents the executive by attending meetings in the executive's absence; speaking for the executive ;

  • • Maintains customer confidence and protects operations by keeping information confidential ;

  • • Prepares reports by collecting and analyzing information ;

  • • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies ;

  • • Ensures operation of equipment by completing preventive maintenance requirements; maintaining equipment inventories; evaluating new equipment and techniques ;

Requirements:

  • • Working experience in same or similar position is preferable ;

  • • Excellent organizational and time management skills with ability to multitask ;

  • • Excellent verbal and written communication skills in English ;

  • • Computer Skills: Writing emails, transcribing notes, faxing, copying, and creating spreadsheets or printing documents ;

  • • Maintains punctual, regular and predictable attendance ;

  • • Flexible and adaptable approach to work .;

  • • Strong interpersonal and communication skills ;

  • • Trustworthiness and discretion when dealing with confidential information. ;
